Overview

What is KitOrder?

KitOrder is a tracking and management tool that organizes details and collects payments for team and group orders.  We started out trying to help cycling teams, but KitOrder can be used by any type of group, for any type of order, to collect payment up front, help split expenses and/or maximize group discounts:

  • Set up a team store and share with teammates
  • Individual members view, select and pay for team items online, 24/7
  • KitOrder collects all the order information -- customized order reports and complete payment are sent to the team manager.

What type of reporting features does KitOrder offer?

You can download 4 custom reports (.xls and/or .pdf) with the following information:

  • A detailed roster
  • An item summary of the total items ordered with quantities per size for each item
  • A user summary with exact items, quantities and sizes for each team member 
  • An item breakdown of which team members ordered each specific item

Where does the money go?

Unless you tell us otherwise, KitOrder sends all the monies collected to your doorstep in one check.

Fees

What type of fees does KitOrder have?

KitOrder is free to set-up for clubs/teams. Individual team members are charged a 6% service fee per item purchased on their order.

Creating a Store

What information do I need to setup my group store?

We recommend you have the following information handy when creating your account:

  • A pricing sheet from the vendor/manufacturer you are working with
  • Images of your clothing design or other items you wish to offer (.jpg, .png or .bmp files okay)
  • Email addresses for team members

How long does the set-up take?

Depending on the number of items your team is ordering, set-up can be completed in as little as 15 minutes:

  • Step 1 - Initiate Order (create your account)
  • Step 2 - Select Items (create your team's catalog)
  • Step 3 - Invite Members (and start your order)

What decides what items to offer on the store?

The order manager, usually your team or group leader, can choose to offer whichever items they'd like.

I understand my vendor has a pre-loaded catalog. What is that?

We are partnering with your favorite manufacturers to load their catalogs into the KitOrder system. A list of catalogs is available under ORDER TYPE on Step 1, and will trigger loading of images and descriptions on Step 2.

I'm not working with a KitOrder partner, what do I do?

You can select one of our basic or generic order types on Step 1 and load whichever items you'd like. Simply choose from the drop down or click ADD ITEM on Step 2 to manually load an item.

Can I designate items that team members must purchase?

Yes - when setting up the team catalog, simply click on the box under the name to indicate that the selected item is a Mandatory Item. This feature can be used to collect annual membership dues or to insure that minimums are met (i.e. everyone must buy the new skinsuit!). You can only make an item mandatory during the set up process, not once the order is live.

How do I make an item mandatory after I have added it to an order?

You can only make an item mandatory when you are setting up the catalog during Step 2. You cannot make it mandatory after the order is live.

Who sets the pricing?

Your order manager sets the pricing. If you are setting up a store to collect information for a custom clothing order, contact your selected vendor and obtain a price list from them.

What do I do about sales tax and volume discounts?

Estimating the quantities and associated pricing is a difficult aspect of any custom order. KitOrder cannot forecast the overall sales or quantities to be ordered. We urge managers to rely on past orders as much as possible in predicting quantities and estimating pricing. We also have a reminder popup to include "extras per unit", such as sales tax or fabric upgrades, etc., in calculating the overall cost per item.

How do I share access to the team or group store?

You have 2 options to share an order:

1. Invite members via email on Step 3 by entering their email addresses

Please be advised that all email invites include a system-generated password. If someone is invited to an order, but then logs-in via the URL, they will need to use the system-generated password

2. Use the order URL for your team. Cut and paste on Step 3 to share this link with your team members.

Although the email invite system is great for making sure your order is restricted to a select group, we have found that many users enjoy the freedom of simply sharing the Order URL. You can use the Order URL to direct your team to the ordering page. Team members can place items in their carts, and will then be prompted to create an account or enter in existing account information.

How do I add team members to the order?

  • You can add a team member to the order after it is live by clicking on ADD MEMBERS from the manager's dashboard. You can add members at any point until the order window closes. 
  • You can delete members from an open order by clicking on the TEAMS tab at the top right of the application. Once on that screen, clicking on the red X next to a team member's name will remove them from the team and that open order. If they have already placed an order, they cannot be deleted. 

Managing an Order

Who is responsible for placing the order with the vendor?

Kit Order is not responsible for placing any order with your chosen vendor. Any and all team purchases are made through your team's manager. Do not engage in a team order unless you are familiar with the team manager who has invited you to the order.

I'm ordering custom clothing and didn't hit my minimums. What do I do?

KitOrder will send the order manager all of the money and the order details. If minimums are not met, it is the order manager's responsibility to refund monies to individual team or group members.

Can I find out what has been ordered before the order window closes?

Managers can view real time order stats at any point during the order window in their account. After logging into Kit Order, managers should click "Manage" next to their order name to view the dashboard with their order's stats.

Do I have to create another account if I want to start another order?

No - you can create and manage as many orders for your team as you like. You can even set up multiple teams with multiple orders (i.e. elite team vs. club team or your cycling team and your kid's soccer team). To create a new order within your account click the ORDERS tab at the top right and then click CREATE NEW ORDER. That will allow you to either access an existing team when you are inviting members to your order on Step 3 or you can create a new team for the new order.

When will the team manager receive the money from the order?

Kit Order collects team payment on the manager's behalf during the order window as team members place their orders. We will mail the manager a check for payment in full within 5-7 business days of the order closing date.

How can I trust that I will receive my team's funds?

Kit Order is an LLC registered with the State of California. We use a reputable merchant account with a secure server. We are collecting funds and order details on behalf of your order manager. Please read our (Terms and Conditions) for more info.

Purchases

How do I checkout?

When a user has chosen the garments they wish to purchase, they can proceed to checking out by clicking the shopping cart icon (where it says "checkout here") in the upper right corner of the page. This will prompt them to log in and enter their payment information.

Why do I receive an error with my credit card?

Our credit card verification system is very secure, and thus, very picky about the information entered.  The billing address must EXACTLY match the address the user has on file with his or her bank.  If information has been entered incorrectly, or if the credit card won't go through and the user is sure that the information is correct, try erasing ALL the information and re-entering.

How do I get a refund?

Contact your order manager, i.e. the person who invited you to the order. KitOrder does not issue refunds to its users. The team manager will be funded the order amounts paid by team members and the manager is responsible for issuing refunds to the order participants. Our service fees are non-refundable under all circumstances.

I made a mistake in my order, what do I do?

KitOrder will not make changes to the order items when the order is still open. We have run into some issues where people were quite indecisive and made several changes and couldn't recall what they wanted. Our apologies, but all changes will need to be run through your order manager.

Passwords and Login

I know my team has an order, but I can't login. What's happening?

A few things may be happening:

I requested my password and never received it.

The password reminder will be sent to the email address your manager used when inviting you to the order.

How do I change my password?

Once you've logged in, click on the ACCOUNT tab at the top right and you will be able to select "change password."
